• Mandatory registration details: place of residence and country of origin (for the municipal night register of Hilvarenbeek).

• Use of park facilities: we may share your data with Summio Parc Duc de Brabant and Chaletpark Kempenbos, so you can use their facilities.

• Communication data: messages via email and WhatsApp.

3. Payments

Payments are handled via Stripe Payments, linked to our reservation system (Huurkalender). Payment details such as credit card numbers are processed directly by Stripe; we have no access to this information. Stripe processes your data in accordance with their own privacy policy.

4. Why do we use your data?

We use your data exclusively for:

• Processing your reservation at The Kempen Forest Cabin

• Providing information about your stay (such as access instructions, house rules)

• Registering in the municipal night register of Hilvarenbeek

• Providing access to the facilities of Summio Parc Duc de Brabant and Kempenbos

• Handling payments via Stripe

• Fulfilling legal obligations (e.g. tax law)

• Communication regarding your stay (via email and WhatsApp)

 

5. Third parties and software

For our services, we use external software and tools that may process your data:

• Huurkalender – reservation management

• Stripe – payment processing

• Gmail – email communication

• Google Drive – document management

• Wix.com – website management and hosting

• WhatsApp – direct communication

These parties process data under their own responsibility. With some of them, we have processing agreements in place or follow their security conditions.

 

6. How we secure your data

We take appropriate technical and organizational measures to protect your data against misuse, loss, or unauthorized access. For example:

• Secure accounts with passwords and two-factor authentication (2FA)

• Only we as owners have access to systems

• We do not share your data with third parties without a valid reason or legal obligation
